When you complete the coaching enquiry form, we may collect your name, email address, WhatsApp number, city, country, preferred contact method, chosen coaching option, sport, current training level, available training time, event details, goals and information you voluntarily provide about your current training.
We may also receive ordinary technical information needed to operate and protect the website, such as device, browser, IP address, request and security-log information.
3. Why we use it
- To review and respond to your coaching enquiry.
- To communicate with you using your selected contact method.
- To assess whether the requested coaching service may be suitable.
- To prepare onboarding steps if you decide to proceed.
- To operate, secure and improve the website.
- To meet legal, accounting or regulatory responsibilities.
Submitting an enquiry does not create a coaching relationship. If you become an athlete, the separate athlete questionnaire and coaching agreement will govern additional information and services.
4. Legal basis and consent
We process enquiry information with your consent, to take steps requested by you before entering a coaching agreement, and where reasonably necessary for legitimate business and website-security purposes. You may withdraw consent to enquiry communications at any time by contacting us, although prior lawful processing remains valid.
5. Service providers and international processing
We use trusted providers to operate the website and deliver enquiries. These may include ChatGPT Sites/OpenAI for website hosting, Resend for form-email delivery, WhatsApp where you choose to communicate through it, and other providers introduced during an agreed coaching relationship such as TrainingPeaks and PayFast.
Because TRIFIT coaches internationally and uses cloud services, information may be processed outside your country. We take reasonable steps to use reputable providers and appropriate safeguards, but internet transmission cannot be guaranteed completely secure.
6. Retention
Enquiry information is generally retained for up to 12 months after the last meaningful contact, unless you ask us to delete it sooner, a coaching relationship begins, or a longer period is required for legal or legitimate record-keeping purposes.
7. Your choices and rights
Subject to applicable law, you may ask whether we hold your information and request access, correction, deletion, restriction or objection to certain processing. You may also withdraw consent or lodge a complaint with the relevant data-protection authority.
South African users may contact the Information Regulator of South Africa. Users in other countries may have additional rights under local law.
8. Cookies and analytics
The website uses essential technical storage required for security and operation. With your permission, it may also use Google Analytics and Meta Pixel to understand website visits, WhatsApp clicks and completed enquiries. These optional technologies are not loaded unless you select “Allow analytics”. Your choice is stored on your device and may be reset by clearing your browser storage.
9. Children
This website and its enquiry form are intended for adults. A parent or legal guardian should contact TRIFIT before submitting information for an athlete under 18.
